WORKSHOP PRICING & PLANNING
Workshop budget template: plan every cost
A workshop budget should show what you keep after paying for supplies, the space, and your time.
Copy this table into your planning document or spreadsheet. The blank amounts are yours to fill in. For automatic calculations, use our free pricing calculator.
| Budget line | How to estimate it | Your amount |
|---|---|---|
| Paid ticket revenue | Expected paid attendees × ticket price | ________ |
| Materials and packaging | Cost per attendee × attendees, plus free places | ________ |
| Venue | Room hire, booking charges and cleaning | ________ |
| Equipment allocation | Share of reusable equipment cost for this event | ________ |
| Your pay | Preparation + setup + teaching + cleanup | ________ |
| Promotion | Ads, printing or other promotional costs | ________ |
| Travel and other costs | Transport, refreshments and miscellaneous expenses | ________ |
| Payment fees | Actual percentage and fixed fees for bookings | ________ |
| Contingency reserve | Extra allowance for uncertainty, counted once | ________ |
| Profit after your pay | Revenue minus every cost above | ________ |
Fill it in before you commit
Start with your likely paid attendance. Record supplier quotes and venue costs, then estimate the time involved. Keep ticket revenue separate from expenses. Avoid using the total cash left in your account as profit when some bills are still unpaid.
Example: a $900 workshop
At 12 tickets sold for $75, revenue is $900. If materials cost $216, other fixed costs are $300, and your pay is $120, the remaining profit is $264. This hypothetical example excludes taxes, payment fees and contingency. Add your real costs before relying on it.
Build a second budget with fewer attendees
Make a copy with eight paid attendees. Ticket revenue becomes $600 and materials become $144, while the same fixed costs and pay total $420. Profit falls to $36. Read the full pricing walkthrough for the break-even calculation.
Estimate versus actual
After the workshop, replace estimates with actual receipts and paid attendance. Note why any line changed. Use that information to improve the next budget, particularly materials waste and preparation time.
Want a reusable planner instead?
The paid WorkshopTally kit contains a desktop HTML planner, text promotion templates and a getting-started guide. Download and unzip it, then open the planner in your browser. It is not an Excel spreadsheet or a Google Sheets template. The offline kit works locally, and you should keep backup files.
